<p>Meeting was opened</p>
<p>Stash Crisis &#8211; Shivani apparently made a mathematical error during stash buying, forgot about VAT &#8211; resulting in an £82 deficit. But! James had simultaneously noted that TAFF’s accounts had not properly taken account of interest, so it turns out TAFF has an extra … £71.50 in its account. So only £9 needs to be raised. As well as simply just writing it off, we could potentially raise the price of existing stash a bit. The committee decided that doing both these things seemed to be best. After a discussion of economics, it was decided that henceforth hoodies would cost £20, and polo shirts £12. Sarah G suggested Shivani could bring/advertise stash at TAFF socials or get-outs.</p>
<p>David Ralf, University Drama Officer, entered, bearing mail. Matt noted this mail, being accounts related, should be forwarded to the Treasurer (now Jay Anslow of University College) rather than the Secretary. Tom endorsed this.</p>
<p>TAFF Dinner &#8211; Shivani confirmed that Christ Church was the best option for a venue, and that she had re-signed the contract with them. The question before the committee now was how much to charge for tickets, and how much to subsidize. The cheapest menu from ChCh will cost £26 per head (it was noted that including VAT this number became £31) James Barber approved. It was asked how much the meal had cost in previous years. £27 had been the cost of the year before last’s dinner. Matt suggested raising a subsidy through a mix of charging alumni slightly more, and TAFF’s own money. Alumni could pay the full price ticket (at present calculations, a full price ticket with acceptable wine allocation was approx. £35) James suggested that a £25-30 price range ought to be our target for students. This meant TAFF would need to provide an approximately £10 subsidy: assuming all attendees (there are 40 places available) were students, this would be at most a £400 subsidy. Matt Wills noted that he needed to hold tickets for Derek and Penny of Henley Theatre Services, and requested that Tom remind him of this.</p>
<p>Treasurer Handover &#8211; James noted that the handover was almost complete, he had the last few forms that would create Jay as the new signatory of the TAFF account; it was heavily hinted at by James that Jay might wish to renew TAFF’s internet banking capabilities.</p>
<p>Workshop &#8211; The coming Friday would be an introductory workshop at the BT. Matt and Tom would be hosting; James, Matt F and Geoff all volunteered to help out. Shivani suggested holding a separate workshop for directors and producers explaining how to use TAFF to find techies. Tom should send an announcement email to the list.</p>
<p>Next Committee &#8211; The elections should be held a week before the AGM. It was suggested that non-graduating members of the committee might consider whether they wanted to be on next year! If not, people should definitely be on the lookout for those who might be interested.</p>
<p>AOB &#8211; Sarah G noted that the Hothouse getin was on 29th January, Sunday of 3rd. People should help out! Sarah G also requested that OUDS Treasurer Stephen Poole be mandated[1] to include footnotes in every email he sent to the TAFF list in future.</p>
<p>The hunt for a replacement for Mark Roberts as Senior Member continued, Dave Ralf mentioned that he might have some leads. Shivani mentioned she had a friend who might now be eligible for Senior Member status. She should ask him.</p>

James’ term is up, we need a new treasurer to bridge committees as well as oversee TAFF accounts and pay in cheques. Tom should double check constitutional rules on elections, time-span etc. and speak to Shivani about setting up a system for voting.</p>
<p>Sewing Machine &#8211;<br />
Approved by Matt and James already; where will it be stored? Not the Moser. Give it to Hires and Venues Rep? Sarah G notes that it’s more the kind of thing people would go and use if it was somewhere than something people would want to borrow from her. Store it in the O’Reilly? Matt will speak to the MES and the O’Reilly Technician. Final decision shall be made later.</p>
<p>Cuppers -<br />
Matt thanks everyone for help thus far, and those who have volunteered to help out in the week. Geoff was confused regarding the timetabling of slots, Matt explained that everything was in his emails. [At this point the minutes are obscured by hot chocolate staining]</p>
<p>Senior Member &#8211;<br />
James Methven was able to sign the Registration forms, Tom thanks him. As Mark Roberts is still going to be leaving, the need for a replacement is still important to consider however. Who do OUDS have? Simon Taverner, of the Wardrobe, says Anna. Given that that’s also partially a backstage role, Matt will raise the question with him. Primary role of Senior Member is authorising Re-registration.</p>
<p>Christmas Social -<br />
Paddyfields as a venue (Chinese cuisine)? Shivani should scout out the potential numbers that might be interested.</p>
<p>Henley BBQ -<br />
Henley Theatre Services would like to confirm a date with TAFF sooner rather than later &#8211; Matt suggested Saturday in 1st Week of Trinity, this was a bit far in advance to be sure for most people, but generally not a problem. Anna asked what the Henley Barbeque was, Matt outlined that it was an annual barbeque hosted by TAFF’s sponsors at Henley Theatre Services, who provide lighting hires and various other services for some Oxford shows as well. Tom suggested that given the high numbers of Freshers on this and likely future Committees, it might be worth at some point setting down a list of ‘TAFF Traditions not to kill’ so that they were not lost.</p>
<p>TAFF Dinner -<br />
Christ Church as investigated by Shivani seemed to be too expensive. Committee members where possible to investigate their own colleges facilities to see what is on offer. It was noted that two years running had been at Lincoln, which was relying on a lot of organisation from Mark Roberts &#8211; unfair to rely too much on him.</p>
<p>Stash -<br />
The sooner payment can be made to Shivani, the sooner this lengthy trial can be brought to a close and prevented from dragging on, as TAFF stash missions have often done.</p>
<p>Website &#8211; Mythic Beasts have sent TAFF another invoice, at some point Geoff needs to orchestrate the switch to Pilly’s server. Doing so will require temporary TAFF list downtime, so preferably this could be saved for the holiday. Matt F asked Geoff how much time it would actually require to get it up? There was discussion of removing the ‘@tabsareforflying’ middleman between messages and the list, potentially helping lower spam, but doing so would lose the publicised ‘list’ email address.</p>
<p>Workshop &#8211; The situation at the O’Reilly in the transition period between Dan Travers and the new technician meant that a workshop there had become to complicated to enact for the timebeing. Given there will not be such a workshop, it seems advisable to arrange a BT one at some point in the remainder of term, or early in Hilary. Opinion was divided as to whether this should include some ‘hands on’ elements of practising with lights etc., but it was argued that this could prove more confusing than helpful. A classic introductory workshop seemed like an option without drawbacks, other than being unexciting.</p>

<p>The meeting was opened.</p>
<p>1 &#8211; Oxford Revue: Matt and Tom had both had to work on the Revue yesterday, not really planned forMatt noted the fact that the original PM on the Oxford Revue bid had dropped out, and he hadn&#8217;t been replaced, leading to the situation encountered in 6th week.  He had emailed the Drama Officer, who was unaware of this fact. Sarah G asked if the PM problem was specific to the Revue, or could be a more general problem. Matt noted that the Revue frequently have this problem particularly, and he would like to get the Drama Officer potentially more involved in preventing reoccurrence. Tom asked what power the UDO has in such situations. Generally, the hope is to ensure that people like the Revue who aren’t always a part of the drama scene are kept aware of the requirements to successfully run a Playhouse show. James suggested contacting the head of the Revue direct, possibly much earlier in the year.</p>
<p>2 &#8211; Senior Member: It was noted that Mark Roberts was still going to be leaving after Trinity, and a new Senior Member had yet to be found. Could we find someone with theatrical connections? Seems unlikely. An amenable form-signing staff member is really all that’s needed. Sarah G suggested she might be able to contact a potential senior member who was reliable for the Jewish Society, for the purposes of form signing. Agreed Sarah should pursue this and report back.</p>
<p>3 &#8211; Cuppers: Anna is producing &#8211; will act as a TAFF/OUDS bridge. Cuppers is to be in 5th week of Michaelmas. Matt will PM. No LD as yet &#8211; several people Matt had had in mind will be away. James noted he had forwarded several pieces of requisite paperwork to Matt for the completion of Cuppers forms. Sarah G wondered if anything had gone wrong last year that needed to be avoided? The committee reminisced about the Cuppers/Streetcar clash of MT10. But this issue has been resolved, and neither Dorian or Greek Play will clash.</p>
<p>4 &#8211; TAFF/OUDS Drinks: James and Shivani think that the potential for joint drinks is a good idea. TAFF and OUDS may be two societies, but should form one ‘drama’ community. Sarah G said she felt a joint event would be more fun for everyone. Matt expressed concern about TAFF’s smaller numbers. Tom and Matt expressed concern that there might be inevitable separation off of a ‘techie’s corner’. Potential for two events &#8211; joint and TAFF only? Then what’s the point of the joint drinks &#8211; or vice versa? Anna says that OUDS drinks felt like more of an ‘event’ and that more people more peripherally inclined in drama were likelier to attend casually. Jocasta noted that she and others might have found a large event of that sort offputting. Jocasta suggested simply having a joint social with OUDS in Michaelmas, but Freshers Drinks as a separate affair. Again, OUDS greater numbers provided concern. </p>
<p>James wanted clarity on our options &#8211; 1 Separate Drinks. 2 Merged Drinks. 3 Merged Drinks, followed by TAFF-only Freshers Event. Overall does joint event with OUDS make casual attendance more likely? Perhaps yes. There was general approval of the idea of a ‘Theater Freshers Drinks’ event as a name which would attract people. Tom and Matt continued to express reservations, Matt suggested taking a vote on the issue was the best way to resolve things. Sarah G and James stated that it seemed best just to give it a try &#8211; especially as Sarah Perry had offered the option; and Anna noted that the OUDS drinks location in the Mitre was nicer and more accessible to Freshers than a potentially hard-to-find college room. Matt called for the proposed vote &#8211; Would the Committee support Joint drinks with OUDS, potentially under the name of ‘Oxford Theatre Freshers’ Drinks’? The Committee voted unanimously in favour of joint drinks with OUDS.</p>
<p>5 &#8211; Freshers’ Fair: Would TAFF and OUDS stalls be next to each other? If they were booked separately, could it be guaranteed that they would not end up in different rooms? Tom explained that Barney Norris, ex-UDO, had done the registration for last years Freshers’ Fair as UDO and TAFF had shared a stall; all Tom had done was organise a rota and bring the banner. James suggested Tom should write a book detailing his invaluable experience. Shivani suggested we just ask Freshers Fair to ensure we’re in the same room, and if such a guarantee is possible. How many passes would we receive for a joint stall with OUDS/UDO in event of sharing? Jocasta should email OUSU’s Fair rep with these questions.</p>
<p>6 &#8211; Workshop: Matt is going to set up a workshop in the O’Reilly next term. This term he thought no one would show up, due to exams. Tom asked what this workshop would entail. A hands-on workshop, demonstrating use of lights, sound, potentially flies etc. during an extended session on a day when the O’Reilly is suitably free.</p>
<p>7- Gel Collection: Jacob had researched filing cabinets, found one costing £90. This seemed expensive. Shivani suggested freecycle. Matt recalled that Jocasta’s father had invented the filing cabinet. Jocasta corrected this misconception, but noted that he does indeed possess many. It was agreed she should see if one could be obtained from whatever source for cheaper than £90.</p>
<p>Other Business:</p>
<p>8 &#8211; Stash: Shivani will pursue this relentlessly next term.</p>
<p>9 &#8211; Website/TAFFList/OUDS Literature: Jocasta had written a passage on TAFF for OUDS Freshers’ literature. Jacob had recommended inclusion of a section on use of list, for directors/producers/non-techies who might need TAFF help regardless. Jocasta felt this would extend the length of the paragraph too much, this was agreed. But she suggested such a thing might be helpful on the website. This too was agreed.</p>
<p>10 &#8211; Freshers Fair Bonus Round: Anna wondered if we might have some free stuff to give out at freshers fair, which always helps win converts? Jocasta might potentially look into asking the Madding Crowd for some kind of freshers week discount for TAFF members? Sarah Grabiner pledged that she will personally “write Freshers Drinks invitations onto gel in sharpie” for handouts. A Freshers Drinks gobo was postulated &#8211; especially if combined with a demonstration lamp. Matt contemplated stealing the Union’s shot glasses and writing TAFF on them in magic marker.</p>
<p>Everyone wanted breakfast, the Meeting was Closed.</p>

<p>Shivani arrived.</p>
<p>1 &#8211; Introductions: each member of the committee briefly outlined who they were and what their job was. Geoff didn’t care who James was.</p>
<p>2 &#8211; Re-registering the Society: Matt asked Tom if the correct forms, signed by the senior member, had been handed to the Proctor’s office. Tom confirmed that they had.</p>
<p>3 &#8211; Social Events: Should TAFF be thinking about some Trinity socials? Punting was suggested, there was dispute as to ‘when’, Geoff suggested Michaelmas. General agreement was reached that social events centred around either punting or a pub trip were a good idea, and that timing should aim to be as convenient as possible.</p>
<p>4 &#8211; Workshops: Some controversy over the lack of a dedicated workshops rep. James and Shivani suggested that workshops might slip through the cracks if no one was overseeing them. Matt and Tom stated that the committee should still be able to organise them, even if in practise this might mean Matt as President would become effectively responsible. James expressed reservations that future Presidents might not want this responsibility. For timebeing, committee agreed to organise workshops collectively.</p>
<p>Question arose of ‘what workshops’: Sound workshop and Flying workshop considered. The virtues of the BT as a location for workshops were questioned &#8211; lack of complex technical facilities, definitely no flying. It was suggested that Matt might ask Dan Travers about the use of the O’Reilly, which has a lot more room for interesting workshops. Sarah advocated ensuring that workshops were kept ‘open’ and accessible to beginners, Shivani suggested repeating TAFF’s Michaelmas introductory workshop on a termly basis.</p>
<p>Jacob arrived. He wanted to retroactively steal Trinity’s lawn furniture for Call of the Wild.</p>
<p>5 &#8211; Freshers’ Fair: Tom brought up the question of Freshers Fair, Jocasta will need to start making arrangements before end of term. The confusion over a joint TAFF/UDO but separate OUDS stall from last year was recalled. Hopefully things can be more organised this year. Jacob and Jocasta suggested having some kind of ‘interactive’ feature at our stall, such as a lamp of some kind. It was agreed Freshers Fair would be discussed in full detail in the term’s second meeting.</p>
<p>6 &#8211; Minutes: Matt advocated publishing them on the Taff list, no objections were made.</p>
<p>7- Website: What is it actually for? What do we want on it? Anna, Jeremy and Sarah had never used it. Some of the content on it is outdated, some useful things that should be on there (such as O’Reilly spec, noted Matt F) are either hard to find or not present. Geoff noted that we presently pay £80 a year for our website, the committee was uniformly astounded. Geoff suggested he might contact Richard Owen who has a server of his own, perhaps he might be willing to lend TAFF some space.</p>
<p>8 &#8211; Senior Member: Mark Roberts will be leaving at the end of the term, and James Methven is often hard to contact. TAFF will need a new senior member in order to re-register. Jacob suggested sending a request to the TAFF list. Matt recommended that everyone keep their eyes open for any potential candidates. Agreed that this needed to get done.</p>
<p>Jeremy had to leave to attend a production meeting.</p>
<p>9 &#8211; Cuppers: will need a PM, usually someone from TAFF, Matt says that presuming it doesn’t clash with Dorian Gray, he might well do it. Everyone agrees that hopefully this year Cuppers won’t clash with a Playhouse show.</p>
<p>Anna had to leave to attend a tutorial.</p>
<p>10 &#8211; Gel Collection: Matt and James are keen for a TAFF gel collection to be begun. They have a lot of spare gel, some of it inherited from Alexes Prideaux and Dickens. There is a lot of gel here, too much for hires and venues to look after. Matt notes that TAFF has both cut gel, and uncut gel. Sarah notes that this is essentially a recycling service, not a hire service. TAFF won’t be charging for use.</p>
<p>Jocasta had to leave.</p>
<p>Jacob suggests keeping the gel in the Moser store, perhaps in a locked filing cabinet. Would a cabinet take rolled gels? James says that rolling is a preferable means of storage anyway. Matt instructs Jacob to look up the price of a filing cabinet with 4 drawers (the Moser’s present filing cabinet has 2 drawers, and no lock). It is noted that it would be unfortunate were someone to mistake the filing cabinet for a prop and use it in their show.</p>
<p>Other Business:</p>
<p>11 &#8211; Moser Store: The committee noted the lack of a Moser store manager, Matt and Jacob discussed the idea of having one and reinstating the restricted access to keys, possibility of charging deposits again. Tom noted that the present system is very helpful for stage managers &#8211; previously get outs had to be split over two days, with items to be returned to the Moser needing to wait for the store manager’s presence the morning after. It was noted that the OUDS Wardrobe runs very efficiently, perhaps elements of that structure could be looked at for a basis.</p>
<p>12 &#8211; The Hires and Venues Drill: Sarah has a drill but no charger, meaning that not only is it unusable, it also cannot be PAT tested and so insured. It was agreed to remove the drill from the Hires and Venues remit &#8211; Jacob volunteered to give it a new home.</p>
<p>13 &#8211; Playhouse TAFF Dinner Funding: A decision was made to fully refund the cost of tickets to TAFF dinner to the Playhouse staff, James will speak to those concerned.</p>
<p>14 &#8211; Jacob’s Workshops: Jacob suggested a means of receiving in-kind sponsorship for receiving training in the use of lighting desks etc. He will think about this. Matt and James considered the idea of workshops through the Playhouse.</p>
<p>15 &#8211; Stash: Shivani said she would attempt to procure stash.</p>
<p>16 &#8211; Final Notes: Matt reminded everyone we would have another meeting later in the term, Tom reminded himself that Geoff had taken the secretary’s folder Shivani had intended to give him.</p>

3.Dinner – This will be on Friday of 1st week. Asparagus is not a problem. The approximate cost per head will be £36, but with the additional support from HTS for our 10th anniversary celebration we can charge £27 per head. Booking for current students will open asap. Booking for alumni will open on Monday. 10 spaces will be reserved for guests and key alumni. Deadline for payment will be in -1st week. Annie will handle the guest list. James will handle payment.<br />
4.Cuppers – HTS still haven&#8217;t been paid for the Cuppers dimmer – James will do this. Need to start bothering OUDS about Cuppers settlement.<br />
5.AGM – Election to occur this term. Open nominations asap – Shivani needs to do this. Delay AGM to before dinner, since the elections need to be sorted and we would like a good turn out.<br />
6.Band – don&#8217;t book yet, but can book when sure. </p>

The timing and logistics for the workshops were discussed.<br />

Committee discussed purchasing a version of the &#8220;Settlers of Catalan&#8221;<br />
Shivani Singhal agreed to bring in Risk<br />
New college MCR can be used as the location, but not on Wednesdays</p>
<p>Accounts<br />
Accounts were noted to be at a slight deficit<br />
Is this accounted for by outstanding TAFF dinner payments<br />
Matt to send Shivani accounts to re-register the society.</p>
<p>TAFF&#8217;s 10th Anniversary<br />
Going out was discussed, but felt to be inferior to a dinner in college Increasing attendance would be good- more alumni. Estimate of 50 people made<br />
Matt suggests a raffle… with the prize as him for an evening. There is a dispute over the success of this tactic<br />
Music was suggested with the criticism that techies don&#8217;t dance, so James Barber agreed to look into a Jazz band. Annie said that this would make her happy. She also said that she would not wear her elbow length white gloves to the dinner.<br />
James Barber would like a masquerade. No-one else would. So he agreed to incorporate it into his 21st instead.</p>
<p>Improving list of suppliers<br />
It was decided that we should explore more suppliers, as the list is limited currently.<br />
It was also decided that Radio Facilities London should be added to the list, and it was noted that Caroline loves Andrew. </p>
<p>It was also noted by Annie that it is generally preferable to know if one is pregnant. Following this, a lengthy discussion about strategies for Settlers of Catalan took place.</p>
